Purpose
The Coordinator, Corporate Facilities is responsible for assisting the facilities department in all operations of the corporate office, including oversight of and processing of incoming and outgoing mail and shipments. This includes property management, supply ordering, vendor support, purchase order management, and invoicing. This position will also support the facilities management for stores when needed (195 locations).

 

Essential Functions

  • Provide overall direction and support for mail room. Sort and distribute incoming and outgoing mail.
  • Support management of the Corporate Facilities strategic accounts with key providers and vendors such as cleaning services and copier services. Escalate significant and critical issues to department leadership.
  • Maintain and reorder inventory on supplies such as mailroom related stock items and copier supplies.  Ensure all mailroom equipment and copiers within the corporate offices are in good working order.  Place service requests for copier repairs as needed.
  • Process and audit invoices; create purchase orders and remit payment via departmental purchasing card or other payment methods.
  • Work order processing, data entry, placing service calls with authorized David’s Bridal vendors and managing through to completion.  
  • Responsible for reviewing weekly service reports and closing services out in CMMS database.
  • Service store needs by following up on work orders and effectively communicating any updates.

 

Other Duties and Responsibilities: 

  • Assist with elevated property management issues with landlords (grounds, power/water outages, and roof leaks).  
  • Escalate higher level priority service requests to the appropriate Facilities Department contact. 
  • Assist/support Facility-related and other inter-departmental tasks/projects as assigned.
  • Pick up and deliver mail to post office.
  • Replenish postage and renew permits.
  • Direct and assist in preparation of mail/packages for shipping.

 

Qualifications

  • Education: High School Diploma or GED required.  Associate’s Degree preferred.
  • Licenses / Certifications / Training: None
  • Years of related experience: 1-2 years preferred
  • Required skills & abilities: Experience with Facilities/Property Management or a customer contact center, retail environment preferred. Proficiency with Microsoft Word, Excel and PowerPoint.
  • Travel Requirements: minimal travel required (1 – 2x per year)

 

Physical Requirements

  • Ability to communicate promptly and accurately via computer, telephone, or similar device with or without assistive technology
  • Ability to bend, sit, lift, squat and kneel.
  • Regularly lift and/or move up to 40 – 50 pounds
