The Merchandise Operations Group is responsible for collaborating with cross functional partners to manage operational processes. The Manager, Order Fulfillment & Backlog is responsible for leading a team of Order Fulfillment Assistants & Backlog Specialists who complete tasks related to on-time delivery, processing non-replenishment special orders and resolution of customer service issues.
 

Essential Functions:

 

  • Provide instructions and support for team and monitor and assess individual work; provide feedback, coaching, support opportunities for development; complete performance appraisals; take corrective action when appropriate and participate in hiring and retention decisions.
  • Oversee the work of the fulfillment assistants including, special order settings and monitor backlog reports and other reporting to ensure that special orders deliver on time to promise date and event date.
  • Updates the non-replenishment buy calendar and maintains the customer-relations with Fillberg business partners including the CFO of Fillberg.
  • Serve as a liaison between Order Fulfillment/Backlog and key cross-functional partners. Communicates order issues.
  • Analyze on time fulfillment exceptions to determine where and what improvements can be made.
  • Oversee customer service tasks of order fulfillment and backlog including:
    • Responding to customer inquiries referred from Customer Service.
    • Managing the backlog of special-order supply chain.
    • Updating customer orders with revised expected delivery date as needed.
    • Routing and modification of customer orders as needed to improve on-time delivery and customer satisfaction. Order can be fulfilled from DC stock, chain stock or future PO or downsize.

Oversee the special-order purchase order process for the order fulfilment including:

  • Generating and confirming non-replenishment purchase orders.
  • Proactively identifying potential fulfillment challenges and making appropriate recommendations to remediate the situation.
  • Meets with buyers and demand planners review order fulfillment issues, make recommendations for adjustments to buyers and to determine corrective action to remedy the out-of-stock situation on SKUs.
  • Completing Exception Recaps for responsible department.
  • Oversee testing of new systems and communicate issues and enhancements to management team.
  • Train merchandise operations team on the ongoing execution of new systems and processes.
  • Work with the cross functional partners to understand and manage order fulfillment workload.
  • Provide updates and recaps to Director, Merchandise Operations.
  • Monitor workflow and provide statistical information to support headcount.
  • Attend and represent merchandise operations in cross functional meetings as assigned or when Director, Merchandise Operations is not available.


Other Duties & Responsibilities:

 

  • Responsible for ad-hoc creation and distribution of reports on an “as needed” basis.
  • Attend monthly meetings with cross-functional teams to provide updates related to customer service and backlog.


Qualifications – knowledge, Skills & Abilities:                  

 

  • Education:  BA/BS/Bachelor's Degree
  • Years of related experience: 2-3 year in customer service/sales or administrative assistant.  2+ Supervisory.
  • Proficiency in Microsoft Word, Excel, Access and Outlook, knowledge of EOM and IRS, WM, SOHO systems.
